Before any dish-to-dish transfer the system enforces a Secure Handshake: matching oocyte chip and sperm chip both required — otherwise ICSI cannot start.

Master chip scan unlocks the Transfer screen. The catheter is verified clean before the digital workflow can close — mandatory final verification.

Cryo labels are auto-printed with embryo IDs (−196 °C resistant). Tank Control integration prevents accidental thaw of abnormal-PGT samples.

Frequently Asked Questions

How long does installation in our lab take?
Typically 2 to 5 days end-to-end. Because there is no drilling or modification of your laminar flow hoods — the readers and tablets simply attach magnetically — the physical setup is hours, not weeks. The rest is training and clinic-specific customization of forms and OR displays.
Do we have to change the way our embryologists work?
No. IVFID adapts to your existing workflow — not the other way round. Your clinic's flow chart is built into the system so every scan happens at the natural step embryologists already perform. Hands stay free, eyes stay on the microscope.
What happens if the system detects a mismatch during ICSI?
Immediate hard stop: the screen turns red, an audible alarm sounds, automatic SMS/email is sent to designated supervisors. The procedure cannot continue without supervisor override and a written explanation. Every override is logged forever in the audit trail.
Is IVFID Witness only RFID, or does it also offer biometric verification?
RFID is the primary identity layer — fast, reliable in lab conditions, hands-free. Optional fingerprint authentication can be added to the integrated CMS (subject to your country's legal permission for biometric use). The clinic chooses which layers are active.
Does the OR LCD show patient personal data publicly?
Only what your clinic configures. The OR display is fully customizable — you decide which fields appear (e.g., MRN + procedure only, or full name + photo for the patient's own reassurance). Sensitive data can be masked from staff-facing views.
Will IVFID Witness integrate with our existing EMR or LIS?
Yes — through the IVFID CMS layer or directly via our API. Our team has built integrations with HL7 and several country-specific national health systems. Excel imports and one-shot legacy data migration are also supported. This migration is not 100% guaranteed — your data must be genuinely transferable and matchable. Theoretically the answer is YES.
How is staff trained — and is training included?
Yes, onboarding training is included with the system. We run on-site sessions with embryologists, nurses, doctors and IT — typically 2 days. After go-live, the first year of 24/7 online support is free; afterwards choose annual or per-call support.
Where is the audit data stored, and who can access it?
All audit data is encrypted in MSSQL — your IVFID cloud instance or your own on-premise server. Only role-based authorised staff can query it, and exports require explicit permission. 30-day automatic rolling backups are standard.
Can it work for clinics offering donor and surrogate programs?
Yes. The Adaptive Registration system handles Real Patient, Fresh Donor, Sperm Bank, and Surrogate identities natively — each with its own RFID assignment, consent flow and traceability model. No workarounds, no generic forms.
What is the cost — and is there a per-cycle fee?
Licensing is one-time + annual maintenance, scaled to clinic size and selected modules. No per-cycle fees. RFID wristbands, labels and chips are consumables priced separately. We share full pricing during a demo call — every clinic is different.
